Methodology
Here are all the details of how the judging will be done, how points will be awarded and how metal will be awarded.
JURY 16 juries have been convened consisting of a mix of foreign and local jurors. The jury chairs will all be foreign. The jurors will view the work and enter points on the 4A's Judging Engine. All jurors have been briefed on how to use the engine.
NO RECUSALS All jurors will judge all entries presented to them by the system in either round of judging. No juror shall recuse themselves on the basis that the work in question was done by themselves/their agency/their network/their holding company. This applies to both foreign and local jurors.
ROUND 1 The following categories and sub categories will go through Round 1 judging as there are enough entries to require 2 rounds of judging. Film (single & campaign), Film Special, Static (single & campaign), Static Special, Static Craft. The jury will view the work and awards points individually, remotely. Jurors have been advised not to discuss the entries they are judging with anyone at this stage. The highest scoring 40% of entries of each category will go into ROUND 2 of judging. This will be done automatically through the judging engine.
ROUND 2 The scores will reset at the start of ROUND 2 judging. The jury will be informed of a rough cut off for Gold, Silver and Bronze. The jury chair of each category will analyze the entries in ROUND 2 and will discuss with the jury to bring in any deserving entries from ROUND 1 that have not made it into ROUND 2. The jury chair will have final say on whether to bring in any or no entries into ROUND 2 in this way. However the percentage of entries allowed in ROUND 2 will be capped at a maximum of 50%. This round will be in person judging. Only the jury, secretariat member and auditor will be in the room at the time of judging The jurors will view the work and enter points on the 4A's Judging Engine. Jurors will converse and debate during this round before entering their individual scores to their computers. Only each individual juror, secretariat and auditors will be able to see the individual scores awarded by the individual jurors. At the end of judging ROUND 2 each juror will sign a printout of their individual score sheet. Ratifying the points they awarded.
GRAND PRIX Once all entries have been scored the jury will have the final responsibility of selecting the Grand Prix winner in each category. If the jury chair decides that a Grand Prix should be awarded then the secretariat will inform the jurors the top 5 scoring entries and the jury will vote through a show of hands as to which of those win the Grand Prix. In the case of a panel with an even number of jurors and a tie in the votes, the jury chair will have the deciding vote. In the unlikely event that the Grand Prix winning entry doesn't qualify to win a gold award according to the final scoring cut offs. The secretariat and auditors will elevate said entry to a good award and it will be eligible for gold award points towards AOTY.
METAL Once Round 2 judging is over the jury will leave and the auditors will take over. They will inform the organizers of the total number of metals that will be awarded based on 3 different scoring cut offs. The organizers will decide which scoring cut off to go with based on the total number of metals that would be awarded. Once this has been decided the organizers will leave the room. The secretariat will receive the final list of metal from the auditors. The secretariat will coordinate directly with the trophy supplier to make the final trophies. The secretariat will coordinate directly with the event video editor to make the final winner announcement graphics. The trophies will be handled by the secretariat on the evening of the event until they have been given out on stage.
AGENCY OF THE YEAR AWARDS Total points across all categories will be added and the highest scoring agency in the following types will be awarded their respective type of AOTY award. ADVERTISING AGENCY OF THE YEAR DIGITAL AGENCY OF THE YEAR MEDIA AGENCY OF THE YEAR ADVERTISER OF THE YEAR AWARD The advertiser that tallies the highest points across all categories will be awarded this award.
POINTS Gold 10 points Silver 6 points Bronze 4 points Please note that Grand Prix awards do not carry any additional points.
TRANSPARENCY AND AUDITING ROUND 1 The jurors (their own scores only), secretariat and auditors will be the only ones with access to the scores of round 1. They will be able to analyze this data prior to the start of Round 2 should they have any doubts or clarifications. The organizing team will ONLY get involved if requested to do so by the auditors. ROUND 2 At the end of judging each juror will be given a printout of their scores by the auditors. Each juror will cross check their scores on the engine against the printout to ensure that they tally. Once satisfied that they do, each juror will place their signature on their individual score sheet printout ratifying that the scores shown are the scores given by them. The auditors will retain these signed score sheets. TROPHIES & DUPLICATES One trophy will be awarded to THE AGENCY responsible for each winning entry. Clients or individuals will be able to order duplicates from the 4As during the week after the awards.
